Q) Why doesn't my system provide me with the list of Carrier Rates? Instead I get an error message!

Q) I have typed an Address, but it does not appear in the Address field of Xpert Mailer when I right-click and select the option from the menu.

Q) When I get the Carrier Rate list, all that appears are rates for USPS.

Q) I do not get a Mailroom Order printed out when I click the button on the last screen of Xpert Mailer.

Q) I get a Carrier List that shows a yellow icon and has the words "No Rating Possible". What is the problem.

Q) I get only a USPS Rate for First Class Mail (8 Oz). No other rates are shown.

Q) I only see rates for one or two Express Carriers - I thought that Xpert Mailer supported Airborne, DHL, FedEx, UPS and USPS.

Q) When I want to send a document, I see only rates that are described as "Commercial" - I want to send this document to a person at their residence. Aren't the rates different for most carriers?

Q) Why doesn't my system provide me with the list of Carrier Rates? Instead I get an error message!

A) Check to see that the communication settings for Xpert Mailer are correct. If this is a Solo system, go to the menu for Xpert Mailer and select "Settings". Select the "Communications" Tab. For a Solo system, your Host setting should be "localhost" (this cannot be any other setting for Solo versions) and the Port should be set to a value of 5004. If your system is not a Solo version, check with your System Administration personnel to see if there is a problem with your access to the server, or if you have some other communication issues.

Q) I have typed an Address, but it does not appear in the Address field of Xpert Mailer when I right-click and select the option from the menu.

A) If you have an address typed, it must be in a format that Xpert Mailer recognizes - such as that you would put on a letter. An address typed out all in one line for example, will not work with Xpert Mailer. (See User Guide) Also, see the example below:

Q) When I get the Carrier Rate list, all that appears are rates for USPS.

A) There are still many Zip Codes in outlying areas that are not serviced by the major Express Carriers. The US Postal Service may service a Zip Code to parts of Alaska, for example, that the other carriers do not deliver to. This is becoming less common.

Q) I do not get a Mailroom Order printed out when I click the button on the last screen of Xpert Mailer.

A) Make sure that you have enabled the Mailroom Order on your system, and then enabled the printing of it. You can generate a Mailroom Order, without printing it, or you can generate the Mailroom Order and automatically print it. Go to the menu for Xpert Mailer and select "Settings". Click on the "Settings" Tab. In the upper right-hand portion of the window, are the Mailroom Order settings. Make sure that both the "Create Mailroom Order" and "Print Mailroom Order" boxes are checked to automatically print the Mailroom Order. If you wish to print the Mailroom Order manually after processing an Xpert Mailer transaction, go to your "C:\Program Files\enTechnia\Xpert Mailer" folder. Open the document "LastMailroomOrder.doc" and print it. (Important: When you process another Xpert Mailer transaction, this document is over-written by the next transaction - so do not forget to perform this step if manually printing the Mailroom Order). (See User Guide)

Q) I get a Carrier List that shows a yellow icon and has the words "No Rating Possible". What is the problem.

A) Most likely you have selected a User ID or Location ID that does not exist. If you have a Solo system, these fields should be blank. (See the User Guide for configuration help) If you are on a corporate system with many users and/or locations, please check with your System Administrators.

Q) I get only a USPS Rate for First Class Mail (8 Oz). No other rates are shown.

A) Check to see that you have a Zip Code entered in the "Personalization" section of your Xpert Mailer "Settings". Without an Origin Zip Code, the Xpert Mailer cannot calculate rates for any Express Services. (See the User's Guide). It is also possible - but very unlikely - that you have selected a Destination Zip Code that is not covered by Express Mail or any of the other carriers that you utilize for document shipments.

Q) I only see rates for one or two Express Carriers - I thought that Xpert Mailer supported Airborne, DHL, FedEx, UPS and USPS.

A) Xpert Mailer is configurable to allow only the carrier(s) that are utilized by an organization on a location-by-location basis. It is possible that the System Administrators have configured your location for the carriers that are used there. If this is a Solo system, open the desktop icon for "Xpert Mailer Configuration", open "Locations" and select the Default Location. Make sure that the carrier(s) that you want to use are enabled by checking the box next to the carrier name. (See the Administrator's Manual) If this is an organization with multiple offices, contact your supervisor or System Administration to make sure that the carriers used are enabled.

Q) When I want to send a document, I see only rates that are described as "Commercial" - I want to send this document to a person at their residence. Aren't the rates different for most carriers?

A) Yes they are different. The "Address Correction and Services" screen has a check box for "Residential Delivery". Checking this box will only show the rate(s) for Residential and no Commercial Delivery options. (See the Users Guide for more information).

Q) I would like to capture more information for the documents that I send out. Can I add fields to the screen to allow me to add more details or references to my Xpert Mailer transactions?

A) Yes - the Xpert Mailer "Settings" selection from the menu bar will allow you to turn on or off fields. The "Prompting" tab will show you a list of available data fields, and checking the box next to these fields will turn them on or off. You can label the prompts as you want, and can make them required or not.

Q) We have negotiated with a carrier to have them waive the Fuel Surcharge for our business. This affects the overall fee that we pay - can I have this reflected in Xpert Mailer?

A) Yes. The "Xpert Mailer Configuration" utility included with all versions of Xpert Mailer allows the Fuel Surcharge to be modified for each carrier that has this fee. Open "Discounts and Surcharges" and make the change required for the carrier(s) applicable. (See the Administrator's Manual).

Q) We have negotiated with some carriers to have certain rates discounted so that they can compete for our business. This affects the overall fee that we pay - can I have this reflected in Xpert Mailer?

A) Yes. The "Xpert Mailer Configuration" utility included with some versions of Xpert Mailer allows the Rate to be modified with a discount or additional fee. This can be modified for each carrier that is configured on your system. This feature is not available on the no-cost Solo version of Xpert Mailer. Open "Discounts and Surcharges" and make the changes required to the rate(s) for the carrier(s) this applies to. (See the Administrator's Manual).

Q) What is the "Pick-up Cut-off Time"?

A) Most carriers have a fairly consistent time that they make the last pick-up of parcels and letters from a business or other location. This allows you to input this time into your system, so that if you have missed a cut-off time, the applicable carrier will be removed from the options presented to you. This helps eliminate a User from selecting a carrier that you cannot tender a package to that day. For smaller shippers who do not have a carrier pick-up for their Express Documents - putting a time that is shortly before the pick-up time of the closest carrier Drop box or Post Office may be a helpful reminder.

Q) I do not see rates for Services such as "Next Day AM". How do I choose other delivery times if they are not displayed?

A) Some businesses do not allow all of the options to be shown to the Users of the Xpert Mailer system when it is part of a larger organization. Reasons vary, depending on the rate they receive for certain services, or simply a desire to reduce costs. If you are a user in a larger office, check with your supervisor to see if they have mistakenly kept you from having access to the service. If you have a Solo version, go the "Profiles" section of the Xpert Mailer Configuration utility and make sure that the carrier delivery services that you require are checked (enabled) on your system (See Administrator Manual).
