Xpert Mailer User's Guide

The Xpert Mailer is an application that uses our Patent Pending process to allow the Add-in function of Microsoft Office 2000 and XP to access a minimized version of the Xpert Rater. It allows anyone working within one of the MS Office suite of applications to quickly assess the costs and choose between the options available to them to send the document via an Express Carrier such as Airborne, DHL, FedEx, UPS, or the USPS.

The Xpert Mailer creates an XML transaction to the Rating Engine running on the Tranfinity Server platform, and displays the results to the user in a simple-to-understand menu, sorted by delivery level and then carrier fee. The ultra-fast rating process provided by the Xpert Rater allows multiple users in an office to simultaneously access rates using the Xpert Mailer without experiencing a slowdown at each desktop.

Once a user has selected a service level to send their document, data specific to the transaction is updated to a Microsoft Access data table. This data is matched to an ID printed on the Mailroom Order document, which is automatically generated. Attaching the Mailroom Order allows the user's document to be sent to the Mailroom, where it can be placed in the proper packaging, and sent via the selected carrier. All information is printed on the Mailroom Order, allowing a Mail Clerk to either enter the address into a system manually, or scan the bar-coded ID to allow an integrated system to capture the data from the Access Database. This automation will eliminate the potential errors of manual typing as well as save time, reducing the usual "crunch" that hits most mailrooms in the afternoon.

Future additions to the Xpert Mailer are automatic address validation and correction using API calls to separate software packages, available from many Independent Mailing Equipment Dealers, as well as the capability to access Carrier web-based shipping functions, so that authorized users can send documents from their desktop without taking any time from a busy Mail Clerk.

The Xpert Mailer supports billing by Department, Client/Matter, as well as additional data fields to allow detailed cost tracking to be performed. Users can be controlled as to the services for which they may generate a Mailroom Order (i.e. Non-authorized users will not be able to ship, for example, "Next Day", if the highest level of service they are granted is "Two Day"). Carriers may be eliminated from the selections, to allow for tailoring to the actual carriers utilized. Rates are supported for offices with Daily, or occasional carrier Pick-up.
